Username and password

Password features

The password must be composed by a minimum of 6 characters, it must be different from the previous 2 and it must contain alphanumeric characters (at least one number and one letter).

 

New Password

You can ask for a new password by clicking on "Forgot Password" in the Homepage. You just have to insert the Username and the registration email to receive the link to generate the new password via email.
If you don't receive your email in 15 minutes, please check your junk/spam box.

Username Recover

It is possible to recover the Username by clicking on "Forgot Password" in the Homepage.
Please click on 'Recover Username', insert the email address and a validation value (Capcha) to receive an email link to retrieve the Username.
If you don't receive an email within 15 minutes, please check your junk/spam box.

 

Username Changes

The username is not editable.

 

More companies management

In case you manage more companies, please contact the Help Desk (indicated in the homepage) in order to check which user coincides to which company

Contact person change

In order to recover the username and the password previously associated to another contact person, please contact the Help Desk indicated in the homepage.

Add more contacts

Depending on the specific needs, it is possible to add some email addresses in the registration form for the incoming of portal communications and to create additional contacts with the possibility to act on events.
To create a new user, go to "User Management" section and click on "Create". Fill in the form with the user data and click on "Save". Then click on the "View Users Rights" button to define the specific rights to be assigned to the user created.

Registration Guide

It is available on the Home page in the portal presentation.

Registration confirm

The completion of the registration procedure is confirmed by a pop up that appears after having answered all the questions in the questionnaires, performed the product classification and completed the specific category forms (where applicable).
In addition, a confirmation is also provided via e-mail to the address indicated on the registration form.

Edit company data

Company name / VAT number / Tax Code changed

For this matter, please contact the Help Desk indicated in the homepage.

Update company informations after registration

In order to provide always the more updated situation, you are invited to periodically (every 6 months) review you answers to the qustionnaries and update any eventual attachements.

Categories and Questionnaries

Operating manual

The operating manual is available on the Home page in the portal presentation.

 

Partial insertion

It is possible to fill in the questionnaires in several sessions. In order to save the information/documents entered, it is necessary to perform intermediate saving when filling out the questionnaires.

 

Questionnaries deadline

The compilation of the questionnaires doesn't have a deadline. Once the initial registration process is complete, to updated and mantain the information/documents it is on the supplier.

 

Updated documents upload

Select the form where the document is contained and follow the following steps:

  • click on "Modify"
  • click on the replacement icon
  • click "Select a File To Load"
  • select the file to attach; click on "Open" and "Confirm"
  • click on "Save"

If expected, update the expiry date of the document in the appropriate field.

Number of selectables categories

It is possible to select an unlimited numbers of categories.
You are invited to select only the categories that you would like to supply to Lavazza.

 

Missing category

For this matter, please contact the Help Desk indicated in the homepage.

 

Modify selected category

In order to add one or more categories:

  • click from the dashboard on "my organisatio" - "my categories"
  • click on "Add category" at the top right
  • select directly the category (s) of interest in the "tree navigation"

To remove one or more categories:

  • click from the dashboard on "my organisation" - "my categories"
  • click on the category you want to remove
  • click on "remove category" in the menu (...) at the top right.

Invoices showcase

Operative Guidelines

The Supplier user guidelines and the video instruction for using and navigating the new module are available in the "Help" area ("?" logo) of the Portal in the upper right part of the new invoice module Accounting Supplier Portal

 

Requests for Clarification scenarios

The new module Accounting Supplier Portal will allow to view and monitor the processing status of the issued ivoices and to send requests for clarification, or report invoices not found among those available on the module, to follow the processing and the payment status of your invoices, once they have been sent and received by Lavazza. It can be used to request clarifications online only when referring to invoices not yet available on the module or resulting duplicated. The invoices sent to Lavazza will be displayed within a short period of time in your company's list.

 

DURF Annex Uploads instructions

For those suppliers involved in accordance with the legislation related to the presentation and updating of the DURF document, please fulfill the following operations:

  • 1.Select the My Organisation menu, "Organisation Profile", the "Profile Data" section and the form containing the document called "DURF"
    The form is in the "Additional Statistics" section and foresees the loading of the document and the valorisation of the expiration date
  • 2.Click "Edit"
  • 3.Click the replace icon (+ "Click to attach a file")
  • 4.Select the File you want to Upload
  • 5.Click "Open" and "Confirm"
  • 6.Click "Save"

Legenda

For each stage in which the invoices will be reported on the Accounting Supplier Portal module, the following actions will be available:

  • a) if "Registered/Payable on time", "Registered/In payment", "In Compensation" : the invoice has already been recieved, registered and follows the expected payment process or has already been paid. NO ACTION allowed.
  • b) if "Received / Duplicated" or "In Approval" the invoice is "pending", waiting an action from Lavazza in order to be authorized or verified. If necessary you can GET IN TOUCH WITH YOUR CONTACT PERSON in Lavazza.
  • c) if "Registered but Blocked on Payment": The invoice is in a "BLOCK" state so it is only advisable to GET IN TOUCH WITH YOUR CONTACT PERSON in Lavazza

 

Data refresh and update

The user can anyway open a clarification request to Lavazza in order to report any accounting, payment or administrative data that need to be modified. Please use the "Create New Request" feature.
